As an Office Manger/Assistant at Smule you will be supporting our CEO and handling office management type responsibilities. You are incredibly sharp, driven, collaborative and a constant learner. You are relationship-oriented and understand the value in building relationships not only with our CEO, but all Smule team members, that will allow you to anticipate needs, intuit the dynamics of the team, and seamlessly step into and out of workflows across the company.


What You’ll Do

  • Provide professional administrative support to the CEO and ensure organized, efficient operations.
  • Manage and maintain a busy calendar, and respond to copious meeting requests that require frequent re-prioritization.
  • Coordinate domestic and international travel arrangements; create detailed itineraries.
  • Arrange internal and external meetings, including lodging and meeting accommodations, for groups large and small.
  • Handle sensitive business and confidential information with discretion, tact, and diplomacy.
  • Build a budget and manage expenses to a budget of ongoing spend and specific projects.
  • Manage office management tasks together with other team members, such as ordering office supplies, food, logistics etc.
  • Help plan events and manage them to a budget.
  • Embrace unexpected duties or projects.
  • With eloquence and poise, act as an ambassador for the office of the CEO, company-wide and to external contacts.
  • Perform general administrative functions.
  • Proactively seek ways to streamline office processes and leverage best practices that build on our collaborative work environment.

About You

  • Minimum 1-2 years of progressively responsible experience as an administrative or executive assistant, culminating in at least one position supporting a C-level executive.
  • Excellent verbal and written communication skills.
  • Strong organizational skills that reflects the ability to prioritize, plan, and perform multiple urgent tasks seamlessly.
  • Self-directed: able to determine priorities, make decisions, and manage time well. That said, not afraid to ask questions and for help when needed.
  • Enthusiasm for challenges, comfortable with change, ready to learn.
  • An eye for efficiency: constantly engaged in improving results by studying, evaluating, and re-designing processes and then implementing those changes.
  • Excellent attention to detail.
  • Thrives in a fast pace hard charging and impactful environment.
  • Works well under pressure, meets deadlines, sees projects through.
  • Punctual, courteous, professional, and reliable; possessed of good judgment.
  • Strong technical competency, specifically with Mac OS, and Google Apps. Actively investigates relevant technology and builds the skills to use it.
  • An interest in the tech industry and the business community is helpful.
