Office Manager at Valimail

The Office Manager will be responsible for making sure all Valimail offices are running in an optimal and effective manner. They will be in charge of ensuring offices are organized and efficient with an employee-first focus. This will encompass everything from facilities/construction management, managing facilities-related vendors, office design, employee events, office security, and owning overall employee workspace needs. They will also be the go-to person in managing office expansion and employee travel. The ideal person will have a strong service-oriented focus- ensuring our employees and their environment are at their best. This person will also need to be a strong project manager as they will be owning sometimes complex and long-term facilities projects.

What You’ll Be Doing :
-Managing the operational workings of our SF headquarters office as well as all satellite offices.
-Owning the relationship with building management as well as facilities-related vendors including catering/snack vendors, supplies, office maintenance, furniture, designers, and security.
-Ensuring front-office presence with quality reception and guest experience.
-Manage all employee workspace purchasing and peripheral needs.
-Project-manage all design, construction, and major maintenance needs for all offices.
-Partner with our IT team to ensure all offices are technically optimized.
-Own the overall office/facilities budget and ensure costs are in-line with planned employee growth.
-Develop and manage Quarterly Employee Events.
-Spin-up remote offices as needed for expansion.
-Conduct regular assessments with employees in regards to office needs, satisfaction, ergonomics, and experience-enhancement.
-Manage the Corporate Travel Program.
-Own the Employee Swag program.
-Maintain office-environment standards.
About You :
*5+ years in a facilities or office management capacity in a small to medium-sized technology company.
*Experience in end-to-end project management of facilities, construction, or design projects.
*Prior experience scaling a company with a growing workforce.
*Experience managing multiple offices geographically.
*Prior experience in a Customer Service role. Exceptional communication skills - both verbal and written. Ability to effectively problem-solve with a sense of urgency.
*Expert experience with G-Suite and MicroSoft Office Tools.
