The Role

We are looking for an energetic Office Coordinator with a can-do attitude to help with administration tasks and help manage and facilitate the day-to-day operations of the office.  Must be a people person. The role will be to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety. The ideal candidate will take initiative, have superior organisational skills and the ability to handle multiple requests while maintaining a professional demeanor.  We are looking for someone with integrity and common sense.

 

Role & Responsibilities

 

  • Assist the Director of Workplace and Facilities to deliver key building and people projects as required (office re-location, culture, environment...)
  • Coordinate with Long Beach Headquarters on a regular basis
  • Maintain the office and liaise with the building manager for repairs, services and security
  • Organise and maintain meeting rooms, kitchen and Zwift training lab
  • Monitor and maintain office and kitchen supplies
  • Setup for meetings and welcome guests including investors, business partners and potential new hires
  • Coordinate with vendors for services such as cleaning
  • Coordinate with IT to ensure issues are resolved and systems run smoothly
  • Review, update and maintain office policies including health and safety procedures
  • Assist in the on-boarding process for new hires
  • Assist with employee benefits, holiday, absence records and coordinate team training
  • Assist with events liaising with venue, guests and coordinating logistics including travel
  • Provide support to various team members 
  • Assist the London Zwift team acting as a central point of contact
  • Help coordinate lunch and learns, Wellness Wednesday and other points of employee engagement programs
  • Ad-hoc project support

Skills and Experience

  • 3-4 years experience in a Workplace/facilities/culture support role in a fast paced environment
  • Positive, with a strong work ethic and the ability to take proactive ownership of assigned duties.
  • Able to work independently without a nudge
  • Proficient in Apple Software, Microsoft Software and Google Products with strong computer skills
  • An excellent communicator, has good listening and writing skills with attention to detail and follow-up
  • Proactive with strong organisational, time management and prioritisation skills
  • Team player able to work collaboratively and communicate effectively with a variety of personalities
  • Able to effectively manage multiple tasks or projects with competing priorities in a fast paced environment across multiple time zones
  • Help to manage and support the culture of a global company 
  • Flexible, patient and reliable with a can-do approach
  • Sense of humor is a bonus!
