We are looking for an Executive Assistant to support our CEO. This is a full-time position. In this role, you will be responsible for ensuring the optimization of the CEO’s day-to-day operations, calendar, meeting preparation, and productive relationships with all key stakeholders. You will partner with him to work across the Executive Team and the organization to maximize his impact. The role requires a highly resourceful individual with strong and project management skills, effective communication, strategic and tactical thinking, the ability to triage inbound requests and deliver dependable follow-through.

What you’ll do:

Strategically prioritize, manage, schedule, and balance competing initiatives on behalf of the CEO

Communicate with executive members and key stakeholders regarding deliverables, business needs, and calendaring items

Strengthen and facilitate relationships between the CEO, executives, and team members

Handle sensitive information with discretion and diplomacy

Ensure that agendas reflect strategic priorities, through tactical deliverables and commitments

Attend meetings alongside or in place of the CEO to document and disseminate relevant information across the organization

Build partnerships with the CEO’s direct reports to increase team effectiveness

Synthesize action items, deliverables, and anticipated issues in a manner digestible by the CEO

Monitor the status of key projects and support the efficiency of meetings  

Liaise with the People organization to promote the culture and values of the organization

Offer recommendations regarding internal processes and organizational structure 

Deliver strategic, tactical, and operational support to the CEO for meetings, retreats, and selected events

Oversee and facilitate Board meeting preparation

About You

6+ years in an Executive Assistant or C-level Administrative Assistant Role

Excellent organizational, time management, and calendaring skills

Consistently demonstrates clear and concise written and verbal communication skills

Willingness and proactive drive to exercise initiative, coupled with effective decision-making 

Demonstrated ability to manage multiple, simultaneous, cross-functional projects

Track record of building and maintaining strong collaborative relationships 

A passion for service, executed with a high level of self-confidence

High level of personal integrity and discretion while handling sensitive matters 

Highly-flexible and focused amidst schedule and project changes 

Advanced proficiency in Microsoft Office suite of products, Google Drive, and a demonstrated ability to quickly gain command of new systems

Must be located locally in the San Francisco Bay Area and willing to commute to our office in downtown in the Financial District.
